Use this checklist before supplier quotation, sample approval, and production. Record several independent identity points so the supplier and buyer can explain why the proposed part matches.

Vehicle evidence

Record VIN, make, model, production year, engine, transmission, drive type, body style, market version, and relevant option codes where available.

Part-number evidence

Record OE, OEM, manufacturer, aftermarket, superseded, and buyer internal numbers, including the source and confidence of each reference.

Physical evidence

Use old-part photos, labels, connector shape, pin count, mounting points, dimensions, left-right orientation, sensor count, and visible markings.

Approval evidence

Connect the supplier proposal to a sample, comparison photo, drawing, measurement record, or buyer-approved application list before bulk production.

Start with all available identifiers

Send the VIN and OE number together with vehicle details and clear photos instead of asking the supplier to rely on one field.

Ask the supplier to explain the match

Require the proposed part number, application, variant, supersession, and any remaining uncertainty in writing.

Compare critical physical points

Check connectors, mounting, dimensions, orientation, labels, functions, and market-specific features that can create a wrong variant.

Freeze the approved reference

Date the sample, photo set, drawing, or application list and use the same record for production and inspection.

Warning signs

  • The supplier confirms fitment from a product name or partial OE number only.
  • Left-right, connector, engine, market, or production-year differences are not discussed.
  • The sample and production order use different labels, revisions, or application lists.
