How Kymon Parts handles inquiry data, attachments, VIN, sharing with suppliers, retention, and deletion requests.

Who we are

Kymon Parts (the operator of kymonparts.com) is a China-based auto-parts sourcing coordinator. This policy explains how we handle personal and business data you send through the website.

It is not legal advice. If a separate order document or NDA says something different about a specific project, that document controls for that project.

What we collect

When you send an RFQ, VIN Parts Finder request, or contact message, we may receive:

  • name, company, email, and/or phone or WhatsApp number;
  • part name, OE or reference number, quantity, destination, and free-text notes;
  • vehicle information you choose to send (make, model, year, engine, market);
  • VIN, only if you enter one, for a fitment review. VIN is not required to start an inquiry;
  • files you upload, such as drawings, photos, labels, or spreadsheets (size limits apply).

When you browse the site we may also collect:

  • technical logs (IP address, browser, pages viewed) needed to run and secure the site;
  • analytics events described in our cookie policy, if those tools are enabled.

We do not require an account to send an RFQ.

How we use it

We use this information to:

  • reply to you by email, phone, or WhatsApp, depending on what you provided;
  • compare suppliers and prepare a quote or a request for missing specification;
  • coordinate samples, inspection, packing, or shipment when that is part of the request;
  • keep an internal record of the inquiry so sales can follow up;
  • operate, debug, and protect the website.

We do not sell inquiry lists. We do not use your drawings as public catalog content.

Sharing with suppliers and processors

To quote a part we may share what is needed for that RFQ with candidate factories or suppliers (for example OE number, photos of the old part, quantity, and destination). We do not post your full contact details on a public board.

We also use service providers that process data on our behalf, such as:

  • email delivery for inquiry notices;
  • website hosting;
  • analytics, when enabled.

WhatsApp is a separate service. If you choose WhatsApp, that conversation is also governed by WhatsApp's terms.

Our team works from China. Data you send may be processed in China and in the country of a supplier who is asked to quote.

VIN and attachments

VIN and uploaded files are treated as inquiry evidence, not as a public identifier. We use VIN only to help match a candidate part. A VIN decode, if any, is a candidate for human review, not a fitment guarantee.

Keep copies of anything you upload. We are not your drawing archive.

Retention and deletion

We keep inquiry records and attachments while we handle the request and any related order, and for a reasonable period afterward so we can answer follow-up questions or disputes.

You can ask us to delete or correct inquiry data by emailing info@kymonparts.com or using the contact form. We may retain what the law or an active order still requires.

Security

We use ordinary technical and organizational measures to protect inquiry mail and files. No website transmission is completely secure. Do not send passwords or payment-card numbers through the RFQ form.

Changes

We may update this policy by posting a new version on this page. The date at the top is the version date.
