Auto Parts RFQ Template for Chinese Suppliers
A good RFQ gives every supplier the same buying requirement. It reduces false price differences, exposes missing fitment information, and creates the first controlled reference for samples, production, and inspection.

When to use this guide
Use this page before contacting suppliers or send it to existing candidates who quoted from incomplete messages. Copy the fields into a spreadsheet with one row per SKU and one document-level section for commercial terms.
Decision checklist
What the buyer should verify
Product identification fields
Include internal SKU, OE or reference number, brand or vehicle application, year, engine, market version, left-right position, photos, and drawing revision.
Specification fields
State material, finish, dimensions, connector, voltage, function, performance standard, quality level, approved sample, and prohibited substitutions.
Commercial fields
Request unit price, currency, quantity break, MOQ per SKU, total MOQ, sample, tooling, artwork, lead time, payment, Incoterm, and quote validity.
Packing and evidence fields
Define unit packaging, label, carton mark, pallet, documents, certificates, inspection access, carton dimensions, weight, and correction terms.
Working sequence
Move from supplier claim to buyer decision
Create one controlled SKU list
Give every part a stable buyer reference and attach the photo, drawing, or OE evidence used to identify it.
Separate required and optional fields
Mark which specifications, documents, packaging points, and delivery dates are mandatory and where alternatives may be proposed.
Require line-by-line answers
Ask suppliers to state not available or not included instead of leaving blank cells that later become assumptions.
Issue one clarification revision
Update the RFQ after supplier questions and send the same revision to every candidate before final quotation comparison.
Evidence to collect
- Buyer SKU and OE reference
- Vehicle application, market version, photos, or drawings
- Quantity, quality level, material, and critical specification
- MOQ, sample, tooling, lead time, payment, and Incoterm
- Packaging, labels, documents, inspection, and shipment data
Warning signs
- The RFQ asks only for price and quantity.
- Different suppliers receive different specifications or packaging assumptions.
- The final proforma invoice does not reference the approved RFQ or revision.
Responsibility boundary
This template is a procurement starting point. Product engineers, certification specialists, laboratories, freight providers, and customs advisers may need additional fields for regulated or safety-critical parts.
