Reusable quotation worksheet

Auto Parts Supplier Quote Comparison Template

A quote-comparison sheet should show why prices differ. It should not force unlike offers into one unit-price column or hide missing specifications, packaging, evidence, and risk.

Auto parts inventory used for supplier quotation comparison

When to use this guide

Use one row per SKU and separate commercial, supplier, quality, and logistics fields. The selected supplier should win on the defined order, not on an incomplete headline price.

Quote comparison worksheet

Compare the same SKU, quantity, currency and delivery point. Request every missing charge before comparing totals; EXW and FOB prices are not directly comparable.

Examples only: no real supplier, price, bank account or confirmed fitment. Unknown costs stay blank; never treat them as zero.

Decision checklist

What the buyer should verify

01

SKU comparison

Track part reference, application, material, quality level, quantity, MOQ, unit price, sample, tooling, lead time, and supplier response by SKU.

02

Commercial comparison

Record currency, Incoterm, delivery point, payment schedule, tax basis, quotation validity, warranty terms, and exclusions.

03

Evidence comparison

Score supplier identity, factory role, sample result, certificates, inspection access, product evidence, and response to technical questions.

04

Landed-risk comparison

Add packaging, domestic transport, inspection, consolidation, freight assumptions, duty inputs, and likely correction or delay exposure.

Working sequence

Move from supplier claim to buyer decision

01

Lock the comparison basis

Use one RFQ revision, quantity, quality level, packaging requirement, destination, and Incoterm for every candidate.

02

Record included and excluded scope

Turn blank cells into clear yes, no, not included, alternative proposed, or evidence pending answers.

03

Separate price from confidence

Give commercial value and supplier evidence separate scores so a low price cannot hide a weak or unverified offer.

04

Issue the final clarification

Ask the preferred supplier to confirm every changed field in the final quotation or proforma invoice before payment.

Evidence to collect

  • One RFQ revision and SKU-level comparison
  • MOQ, unit price, sample, tooling, packaging, and Incoterm
  • Supplier role, verification, sample, certificate, and inspection evidence
  • Lead time, payment, correction, warranty, and document scope
  • Landed-cost inputs and unresolved risk notes

Warning signs

  • The worksheet ranks suppliers by price without showing specification differences.
  • Missing data is treated as included rather than unresolved.
  • Supplier identity and sample evidence are not part of the decision.

Responsibility boundary

The template supports a procurement decision. Freight, duty, tax, certification, warranty, and market-compliance inputs should be confirmed by the appropriate provider before final landed-cost approval.
