A business license, a clean workshop, and a certificate on the wall do not show whether a site can repeatedly make the correct part for your order.
An automotive factory audit connects the supplier, production site, equipment, process, materials, testing, and quality controls to a specific part. A generic factory tour may confirm that a facility exists. Buyers still need product-specific evidence before they approve tooling, samples, mass production, or a larger order.
This checklist is for importers, wholesalers, repair networks, and private-label buyers evaluating a Chinese auto parts supplier.
Factory verification, technical audit, and inspection answer different questions

A factory audit evaluates the production system. Samples and batch inspections remain separate decision points. Start with supplier and factory verification when the company identity, payment beneficiary, or factory relationship is still unclear.
1. Define the part and audit scope before the visit
Send a written scope that identifies the product the supplier is expected to make:
- Part name and product family
- Supplier part number, MPN, or OE reference where relevant
- Vehicle make, model, year, engine, chassis, and destination market when fitment matters
- Drawing, approved sample, material specification, and revision
- Safety, durability, or regulatory requirements for the target market
- Quantity by SKU and expected ordering frequency
- Neutral, aftermarket, genuine, or private-label status
- Packaging, marking, barcode, and document requirements
- Processes or tests that must be performed in-house or by an approved subcontractor
The audit should follow the risk of the requested product. A radiator, brake pad, control arm, oil filter, parking sensor, and headlamp require different process evidence and test plans.
2. Connect the legal entity to the production site
Record the Chinese legal company name, unified social credit code, registered address, site address, and business scope. Compare them with the quotation, invoice, export party, and proposed payment beneficiary.
At the site, establish:
- Who owns or operates the factory, office, warehouse, and equipment
- Whether the seller acts as manufacturer, trading company, brand owner, exporter, or a combination
- Which company signs the purchase agreement and receives payment
- Which company handles product quality and corrective action
- Whether a sister company or subcontractor performs any quoted process
A trading company can be a workable supplier. The buyer needs a clear view of the real manufacturer and the party controlling the product and order.
3. Map in-house and subcontracted manufacturing steps
Walk through the process from incoming material to finished packaging. Record which steps take place at the audited site and which happen elsewhere.
Depending on the product, the map may include forging, casting, stamping, molding, machining, welding, heat treatment, plating, coating, brazing, assembly, programming, testing, cleaning, marking, and packing.
For each outsourced step, record the subcontractor, approval method, batch identification, incoming evidence, and responsibility when a defect is found. Finished goods returning to the supplier's warehouse do not make an outsourced process an in-house capability.
4. Review equipment, tooling, fixtures, and calibration
Match the equipment list to the requested part and ask to see the machines in use.
Check:
- Core production equipment for the quoted process
- Molds, dies, jigs, fixtures, and assembly aids
- Tool identification, revision, storage, maintenance, ownership, and expected life
- Measuring instruments for critical characteristics
- Calibration status for relevant gauges and test equipment
- Preventive maintenance and breakdown records
- Backup arrangements for a critical machine or process
- Operator training for assigned equipment
Ask the factory to demonstrate how it controls one important product characteristic. A useful answer connects the drawing or specification to a tool, method, frequency, record, and reaction plan.
5. Check incoming materials and purchased components
Many defects begin with raw material or a purchased component. Review the controls for steel, aluminum, rubber, bearings, fasteners, electronic components, coatings, adhesives, and other critical inputs.
Look for approved supplier records, purchase specifications, incoming inspection criteria, lot identification, storage rules, shelf-life control where applicable, and physical separation of accepted, rejected, and pending material.
A material certificate should connect to the supplier, batch, specification, and received goods. A generic PDF cannot establish that link.
6. Review process control, traceability, and change management
The supplier should show how mass production remains consistent with the approved sample and purchase specification.
Review:
- Process flow, control plan, and work instructions
- First-piece or setup approval
- In-process checks and recorded results
- Batch, lot, date, line, shift, or operator traceability where needed
- Control of rework and repaired parts
- Drawing, firmware, tooling, material, component-source, and subcontractor revisions
- Record and sample retention for the program
The purchase agreement should define which changes require buyer approval. Otherwise, the material grade, component source, coating, firmware, tooling, or subcontractor may change after sample approval.
7. Match testing to the product category
Ask which tests are performed, where they are performed, how often they run, and how results connect to the batch. The written product specification and destination-market requirements determine the final scope.

These examples are not a universal automotive test standard. The buyer and supplier should agree the required checks, with engineering, laboratory, or compliance support where the risk requires it.
8. Examine the quality system through real records
ISO 9001 or IATF 16949 can support a supplier review when the certificate holder, site, scope, certification body, and validity match the claim. The certificate does not approve the requested part.
Ask for representative records covering incoming, in-process, and final inspection; nonconforming product; corrective action; customer complaints; training; calibration; maintenance; revision control; and supplier quality issues.
Choose records related to the requested process where possible. A completed corrective-action record shows more than a polished quality manual because it reveals how the factory contained, investigated, corrected, and rechecked a real defect.
9. Validate capacity against the order
Ask the supplier to show how the promised lead time was calculated for your part. Review available machines and shifts, current utilization, output per shift, setup time between SKUs, raw-material lead time, testing or coating bottlenecks, maintenance downtime, holiday planning, and backup arrangements.
The capacity discussion should follow the order through each constrained process. Headline annual output without product, tooling, and utilization context has limited value.
10. Review packaging, marking, and shipment preparation
Packaging protects heavy, coated, machined, electrical, and fitment-sensitive parts and keeps variants identifiable.
Review:
- Surface, thread, seal, connector, and corrosion protection
- Inner packaging, dividers, caps, trays, foam, or bags
- Units per inner and master carton
- Carton strength, gross weight, pallet, and crate plan
- Product labels, OE or reference information, barcodes, warnings, and country-of-origin marks
- Private-label artwork and revision approval
- Carton, packing-list, and SKU consistency
- Handling requirements for batteries, liquids, chemicals, magnets, or other regulated cargo
The importer and its appointed specialists remain responsible for destination classification, import eligibility, mandatory labeling, and local compliance decisions.
11. Turn the audit into a decision record
The report should separate observations, records, photos, and supplier statements. Include the audited entity and site, date, people interviewed, product scope, process map, equipment and test access, findings, corrective actions, due dates, unresolved questions, and follow-up evidence.
Use a practical outcome such as approved for this scope, conditionally approved, pilot order required, specialist review required, or not approved. A single factory score can hide the difference between a low-risk stocked filter and a safety-sensitive custom suspension program.
Common automotive factory audit red flags
- The visit stops at a showroom while production is said to happen elsewhere.
- The legal company, certificate holder, site, quotation issuer, and bank beneficiary cannot be connected.
- Equipment does not match the quoted process or appears unused.
- The supplier hides critical subcontractors or cannot show how they are controlled.
- Calibration, maintenance, material, or inspection records are missing or overdue.
- The approved sample used a process that mass production will not follow.
- Material, component, tooling, or process changes can occur without approval.
- Rejected goods are mixed with accepted stock.
- Repeat defects have no documented corrective action.
- The supplier refuses agreed samples, inspection access, or written specifications.
What to do after the audit
Close critical findings before paying for tooling or mass production. Manage lower-risk gaps through a dated corrective-action plan and verify the evidence before the next payment or approval point.
A controlled order usually follows this sequence:
- Verify the supplier and commercial parties.
- Audit the factory and relevant process when the risk justifies it.
- Approve the part reference, sample, and fitment evidence.
- Freeze the purchase specification and change-control rules.
- Monitor production where needed.
- Inspect the finished batch before release.
