What to Check Before Shipping Auto Parts from China

The supplier says the order is ready. The forwarder asks for a pickup date. The remaining balance is due. This is the point where a buyer needs a release checklist rather than another reassuring message.

The shipment should move only after the product, quantity, inspection, packing, documents, and cargo handoff describe the same confirmed order.

1. Confirm the product identity

Match the finished goods against the purchase order and approved reference. Depending on the part, check:

• OE and manufacturer reference numbers
• Vehicle application and market version
• Left or right orientation
• Connector shape, pin count, voltage, and functions
• Material, finish, coating, hardness, or dimensions
• Product and packaging markings
• Drawing or sample revision
• Genuine, aftermarket, neutral, or private-label status

A carton label is one piece of evidence. For fitment-sensitive parts, compare the physical feature, buyer-approved image, or measurement as well.

2. Confirm the quantity that will ship

The purchase order quantity and the cargo-ready quantity can differ. Record:

• Ordered quantity by SKU
• Finished quantity
• Inspected quantity
• Accepted quantity
• Short, damaged, reworked, or held quantity
• Carton quantity and units per carton
• Goods left for a later shipment

For multi-supplier orders, keep the quantity connected to each supplier and purchase order. Do not approve a total carton count without knowing what the cartons contain.

3. Review the inspection scope and result

Read the report against the approved specification. Confirm:

• Inspection date and location
• Supplier and shipment reference
• Production completion percentage
• Sampling plan or checking method
• Defect definitions
• Quantity and workmanship result
• Dimensions or functional checks included
• Marking and packaging result
• Photos tied to the inspected batch
• Final pass, hold, rework, or buyer-decision status

4. Close every defect or exception

The report may contain a pass result with remarks. Read every remark.

Create an issue list showing:

Do not let an unresolved item disappear into a general “supplier will improve” note.

5. Check individual and export packaging

Packaging should protect the actual route and handling method. Review:

• Surface, connector, thread, and seal protection
• Rust and moisture control
• Inner dividers, caps, foam, or trays
• Carton strength and gross weight
• Product quantity per inner and master carton
• Barcode and label readability
• Country-of-origin and warning marks
• Pallet, crate, strap, corner, and stretch-wrap plan
• Wood-packaging requirements where applicable

Ask for packed-product and closed-carton photos, not only photos of loose parts on a table.

6. Match packing data to the freight quote

The forwarder should quote the final cargo, not an early estimate. Confirm:

• Number of cartons or pallets
• Dimensions of each packing type
• Net and gross weight
• Total volume
• Pickup address and cargo-ready date
• Battery, liquid, chemical, magnet, pressure, or dangerous-goods status
• Incoterm and named place
• Destination and delivery scope

A change in packing can move cargo into another freight bracket.

7. Review the commercial invoice and packing list

Check the drafts before cargo leaves:

• Seller, exporter, buyer, and consignee names
• Product descriptions
• Quantity and unit
• Unit value and total value
• Currency
• Incoterm
• Marks and numbers
• Carton count
• Net and gross weight
• Country of origin
• HS code information for broker confirmation

Avoid vague descriptions such as “car accessories” when the shipment contains specific replacement parts.

8. Confirm destination requirements

The importer or licensed broker should confirm:

• HS classification
• Duty, VAT, and additional tariffs
• Product conformity or registration requirements
• Trademark authorization
• Label language and mandatory warnings
• Importer-of-record responsibility
• Insurance and Incoterm implications
• Whether batteries, refrigerants, oils, chemicals, or safety parts need special handling

9. Record the shipment release decision

Use one of four outcomes:

1. Release the complete shipment.
2. Release confirmed goods and hold selected items.
3. Hold the shipment for supplier correction.
4. Reject or cancel the affected goods under the commercial agreement.

State who approved the decision and which evidence supported it. The supplier, inspector, sourcing partner, and forwarder should receive the same instruction.
