
How to Read an Auto Parts QC Inspection Report
Learn how to review an auto parts inspection report using product identity, sample size, defects, measurements, photos, packing, and shipment release status.
An inspection report should help the buyer decide whether to release, hold, correct, split, or reject goods. A professional PDF is not useful if it cannot be connected to the purchase order and shipment.
Read the report in this order: identity, scope, findings, evidence, correction, and release status.
Confirm what was inspected
The first page should identify:
- Supplier or factory
- Inspection location
- Inspection date
- Purchase order or shipment reference
- Product and SKU
- OE or manufacturer reference where relevant
- Ordered quantity
- Finished quantity available for inspection
- Packing status
- Buyer-approved sample, drawing, or checklist revision
If the supplier had completed only part of the order, the report covers only the available batch.
Check the sample size and method
Reports may use an AQL sampling plan, a buyer-defined sample, selected checks, or a full inspection of specific characteristics.
The report should state:
- Lot size
- Inspection level or sampling method
- Sample size
- Acceptance limits
- Critical, major, and minor defect definitions
- Whether cartons and units were selected randomly
AQL 2.5 is not a universal automotive quality standard. It is one possible acceptance limit in a statistical sampling plan. Safety-critical characteristics may need zero-acceptance rules, tighter sampling, 100 percent checks, or specialist testing.
Read defect definitions before defect counts
The same issue can be classified differently depending on product use.
- A critical defect creates a serious safety, legal, or functional risk.
- A major defect is likely to cause fitment failure, return, loss of use, or commercial rejection.
- A minor defect affects appearance or workmanship without normally preventing use.
The buyer should approve these definitions before inspection. A report cannot make a meaningful acceptance decision if the defect standard was invented after the inspector arrived.
Verify product identity
For auto parts, identity errors can pass a generic workmanship check. Review evidence for:
- OE and product numbers
- Vehicle or market application
- Left and right orientation
- Connector and pin count
- Voltage or function markings
- Dimensions and mounting points
- Material or finish where included in the scope
- Product and carton labels
- Private-label artwork revision
One product photo is not enough when several variants look similar.
Review measurements and functional checks
The report should state the tool, method, tolerance, and result. Look for:
- Specification value
- Measured value
- Allowed tolerance
- Number of units measured
- Measuring tool or fixture
- Calibration information where relevant
- Test condition
- Pass or fail result by unit
“Size OK” is weaker than a table showing the required and measured dimensions.
Basic function checks also need a defined method. A switch click, sensor resistance, motor movement, leak test, pressure test, or electrical response may require different equipment and expertise.
Connect photos to findings
Useful photos prove a report statement. They may show:
- Outer carton and mark
- Product and inner label
- OE or batch marking
- Sample selection
- Measurement setup and result
- Connector or left-right feature
- Workmanship defect
- Quantity grouping
- Packaging protection
- Corrected item after rework
Each failed photo should identify the SKU and defect. Decorative factory images do not prove the inspected batch.
Read the packaging section
Check:
- Individual protection
- Rust and moisture prevention
- Inner and master quantity
- Carton strength and condition
- Label and barcode
- Country-of-origin mark
- Gross weight
- Pallet, crate, strap, and stretch-wrap condition
- Whether the packing matches the forwarder's cargo data
A product can pass inspection and still arrive unsaleable because the export packaging was not reviewed.
Look for open issues after the final result
Reports may contain remarks, pending documents, or defects below the acceptance limit. Build a separate issue table:

A pass result does not close an action that the report still lists as pending.
Decide what the report allows you to do
The final decision should be one of these:
- Release the complete order
- Release selected SKUs and hold others
- Request rework and reinspection
- Accept a documented exception
- Reject the affected goods
Record who made the decision. The inspector supplies evidence and a recommendation; the buyer retains commercial release authority unless the contract states otherwise.
Check what the report did not cover
A normal pre-shipment inspection may not verify:
- Material composition
- Long-term durability
- Fatigue performance
- Vehicle-level fitment
- Regulatory certification validity
- Hidden internal components
- Software or protocol compatibility
- Every unit in the production lot
Use accredited laboratory or specialist engineering support where the product risk requires it.
